How to respond to a negative Google review (contractor examples)

A bad review is written by one customer, but your reply is read by everyone who checks your profile afterward. A short, calm reply that owns what went wrong and invites a call does more for you than winning the argument. This prompt writes the public reply and the private follow-up from the job notes.

What to get right

  • Read the job notes first. Reply once you know what happened, not in the heat of the moment.
  • Under 80 words. Thank them, own what’s yours, invite them to call you directly. Long replies look defensive.
  • No private details. Never post what they paid, where they live or anything from the job record.
  • Fix it offline. The real work happens on the phone. If you make it right, some customers update the review on their own.

The prompt

This is the Respond to a bad online review workflow, word for word. Copy it, fill in the [brackets], and paste it into the AI tool your company uses.

Never paste: Employee pay rates or personal info, customer names with addresses or phone numbers, bank or card numbers, financing applications, or anything from a pending legal dispute.

How to use it

  1. Paste the review and the facts from the job notes.
  2. Be honest about what you got wrong, if anything.
  3. Fill in what you can offer: a call from you, a return visit, a refund if it’s warranted.
  4. Run the prompt, post the public reply, then make the call.
  5. If it was a repeat-visit problem, add it to the recall review.

A tool that can help

Optional. The prompt works without any of these.

Questions shops ask

Should I respond to every negative review?

Yes, once and calmly. Future customers will judge you by the reply as much as by the complaint.

What if the review is fake, or from someone who was never a customer?

Reply briefly that you can’t find a record of the job and invite them to call. Then report it from your Business Profile if it breaks Google’s policies.

Can I ask the customer to remove the review?

You can make it right and let them decide. Don’t offer money or a discount in exchange for removing or changing a review.
