Review your monthly numbers
Part of kit: Owner weekly numbers review (step 3 of 5)
When to use it
First week of the month, when your P&L and FSM reports (ServiceTitan, Housecall Pro, Jobber) are in.
The prompt
Copy this, then replace everything in [brackets].
Help me review last month's numbers for my [HVAC / plumbing / electrical] service business.
Revenue: [total, by service vs. install vs. maintenance]
Jobs: [count], average ticket: [$], close rate: [%]
Callbacks/recalls: [count]
Membership count: [start / end]
Gross margin: [%], labor as % of revenue: [%]
Same month last year: [key numbers]
Tell me what improved, what slipped, the 3 things worth my attention, and one question to ask my service manager. Plain English, no lecture.
Before / after
Before: Staring at a P&L and not knowing what to do about it.
After (example output):
Average ticket is up 9%, but jobs are down 14% vs. last October, so revenue is flat. Callbacks doubled (6 to 12). Worth your attention: (1) call volume, so check marketing spend and booking rate; (2) callbacks, so ask which techs and what repair types; (3) memberships grew by 18. Question for the service manager: are we losing calls at booking?
Tips
- Compare to the same month last year, not last month. Seasonality lies.
- Use real numbers from your own reports. Never let the AI invent them.
- Keep it in your voice. Edit the draft until it sounds like you talking to your crew.
- Review every draft before you send it. You’re accountable for what goes out.
