The prompt
Copy this, then replace everything in [brackets].
Write a 5-minute handoff walkthrough script.
Equipment: [system, thermostat model]
Key things to show: [thermostat basics, filter location and size, what's normal (noise, defrost on heat pumps), warranty registration, who to call]
Promises: [cleanup, follow-up visit]
Friendly, plain English, a checklist I can follow.
Before / after
Before: Customer calls the next morning about steam from the heat pump.
After (example output):
- Thermostat: here’s how to set a schedule. 2. Filter: 16x25x1, replace every 3 months. 3. Normal: on cold days the outdoor unit will defrost and may steam for a minute. 4. Warranty: we’ve registered it, papers are here. 5. Questions: call [office].
Tips
- Tell them about heat pump defrost. It’s the #1 ‘is this broken?’ call.
- Give the AI your notes and the facts. It turns them into clean reports.
- Code and the manufacturer’s install instructions win over anything the AI says.
- Review every draft before you send it. You’re accountable for what goes out.
